Conferences Configuration

 

  1. Click "Edit" beside the name of the conference you want to modify.
  2. Click the Configuration tab to edit the the conference details.
  3. Enter a unique Title for the conference (e.g., “2017 Annual Meeting”).
  4. Click in the Category field and select "Conference" from the drop-down menu, then click the  to save the change or the to cancel.
  5. Click in the Default Term Days field and type or use the arrow keys to specify how many days the learner will have access to to an enrollment for the conference.
  6. Click in the Maximum Enrollment Active Thru Date and type or use the calendar to select a date after which the conference will no longer be available for new enrollments.
  7. Integration Product Code: If Learner Community is integrated to your organization's internal management system, and in that system learners get pre-registered for the conference, then this is the unique code that your management system uses to identify the conference. This makes it possible for your internal management system to communicate all pre-registrations to Learner Community, which will get the learner enrolled in the conference. This makes it possible to configure a conference to require a learner to be enrolled before he can enter any session attendance codes.
  8. Click in the Integration Completion Code field and type in the Integration Completion Code.
  9. Click in the Timezone field and select a timezone for the conference from the dropdown menu.
  10. Type or use the calendar to specify the Start Date of the conference.
  11. Type or use the calendar to specify the End Date of the conference.
  12. Sessions Redeemable Thru: Type or use the calendar to specify the date after which session attendance codes can no longer be redeemed for this conference. Attendance codes will be redeemable thru the specified date (that is, if the date is 2/24/2012 then the session attendance codes for this conference will be accepted through 2/24/2012 11:59:59pm in the learner’s timezone). NOTE: Session attendance codes can be redeemed as soon as the session ends.
  13. Click in the Product Detail Page field and select Disabled - Nobody May Access or Public - Anyone With The Link from the dropdown menu. If you choose Public - Anyone With The Link, enter the From Date and Thru Date, choose "Yes" or "No" from the Show Credit Information dropdown box, and "Yes" or "No" from the Show in Catalog dropdown box.
  14. Click in the Member and Non-Member fields to set Rate Categories. Choose "Free," "At Cost," or "Not Available" from the dropdown menu.
  15. Click the  button to validate the conference.
  16. Click the  button to publish the conference.
  • Title (required): Conference titles can contain up to 100 characters—letters, numbers, and/or symbols. Every conference must have a unique title.
  • Category (required): Choose the category that best describes this conference.  The list of available categories is determined by your organization during initial implementation. Contact your administrator if the list needs to change.
  • Default Term Days: The specific number of days that a learner can have access to an enrollment for a particular conference. This info will be indicated when a learner enrolls in a conference. If the learner’s enrollment method does not indicate a different duration, the Default Term Days will be used.
  • Integration Product Code: The unique code that your management system uses to identify the conference, if Learner Community is integrated to your organization's internal management system.
  • Integration Completion Code:
  • Product Detail Page (required): Controls how and if product details are visible to learners. “Disabled” products will be excluded from any catalog widgets. “Public” products are always viewable unless a date range is specified to limit how long the page should be visible. Product Detail Pages can be enabled even when the product is unavailable in catalog widgets.
  • Show in Catalog (required): Controls whether or not the conference will be available in catalog widgets. If enabled, then the Product Detail Page must also be enabled during the same time period. If disabled, the item will not be available in any catalog widgets. A date range may be specified to automatically control when the item should be allowed in a catalog widget. 
  • Rate Categories (required): A conference can be set to “Free,” “Cost,” or “Not Available.” Different rates can be set for members and non-members.
  • Edit: Edit the conference, including configuration properties, description, structure and content, completion criteria, and credit profiles.
  • Validate: Submits a request to validate the conference.
  • Publish: Submits a request to send the conference to the LIVE site. Conferences are typically published within a few minutes.
  • Trash can: Deletes a conference, pending confirmation.
