How to use the Learner Enrollments Tab

The Enrollments tab provides a list of all of the products in which the learner has enrolled, including current and expired enrollments. The page will display the first ten enrollments and you can scroll through the additional pages (if any) using the  button or by clicking on the page number. The total number of enrollments will be shown in the bottom corner of the table. You can review a number of details about each enrollment, as well as control the enrollment timeframe and availability.

  • Next to earch Learning Product title, you can see the enrollment From date, which is when the enrolment started.
  • The Thru date is when the enrollment will expire. If no date is shown, the Default Term Days are set to forever on the Configuration tab in the learning product.
  • The name of the learning product Section is shown. If no sections have been created, the Default section name will display.
  • You can see the Source of the enrollment, which will be one of the following:
    • From Assignment: Assignment Title
    • From Enrollment Code: Enrollment Code Title
    • Integration Source ID: ID from your management system
    • From Subscription: Subscription Title
    • From Certification: Certification Title
    • Order Confirmation Number: Confirmation number from e-commerce purchase
    • Self-Enrolled for free
  • The Status lets you know whether the learner has completed the enrollment, not started it, or whether it is incomplete or incomplete and failed.
  • The  button lets you Revoke/remove the enrollment.
Pending enrollments occur because the enrollment has not been processed yet. The most frequent occurrence of this is from admin added enrollments, though not all admin enrollments will appear in this grid. Integrated product enrollments will not be visible in the grid immediately after being added to the learners account because an order is created, but not synced. Only when the order has synced will the enrollment process--this takes place at the next login, so it is very unlikely that the enrollment will appear as pending to an admin.
  • Click the  button to add a new enrollment to the learner's account.
  • Select the Learning Product Section(s) to be added and click the  button.
  • The new enrollments will be added to the Pending table and will remain pending until the learner logs in and accesses their account.
  • Enrollments added by an administrator will honor the Default Term Days from the learning product. If the term days start when the enrollment is fist viewed, the countdown will not begin until the learner accesses the enrollment. If the term days start when the enrollment is created, the countdown will start immediately after you add the enrollment.

The View Details button drills down into the enrollment and lets you see the learner's progress in each lesson and activity.

  • The Learning Product Title and Section name are listed at the top. If the learner has moved the enrollment into the Archive folder on the Enrollments Widget page, this will be noted next to the title.
  • If the product is configured to include an Overall Score, there will be a link above the lessons for accessing this score. When you click on the link, a window will open showing the learner's score, the score categories and the weight of each, the current score within each category, and the included activities and their score. 
  • Each Lesson Title is displayed above its activities. You can see if the lesson is required for completion as well as the percentage of the lesson currently complete, based on the activities in the lesson.
  • The activities will show a  if they are not complete and a  if they are complete. Any activity that has been started will show the number of hours, minutes and seconds that the learner has spent in the activitiy, as well as the date and time it was last accessed (shown in the learner's time zone).
  • Any Assessment activities will include a  button if the assessment has been attempted at least once. The attempts will be shown in a window with a link to review each attempt's results based on the activty configurations in the learning product, the score for that attempt, and Peer Scores if enabled in the activity configurations in the learning product.
  • If the product includes Credits, the credit details will be displayed. You can see if the credit has been earned and claimed.

If a learner needs to have access to a learning product beyond the Default Term Days that they originally received, you can Extend the enrollment to a chosen date that is beyond the original date.

If you need to update the learner's thru date so that it expires sooner than the Default Term Days that they originally received, you can shorten the enrollment to a chosen date that is before the original date.

  • Click on the date in the Thru column and either enter a new date, or click on the  button to select a date.
  • Click on the  button to save the new enrollment thru date.

*Note: You cannot extend or shorten a complete or failed enrollment.

If you need to completely remove an enrollment from the learner's account, click on the  button to Revoke the enrollment. This will prevent the learner from accessing the enrollment and will remove it from their transcript.

  • When the revoke enrollment window opens, review the details of the enrollment.
  • Enter the Reason to Revoke the enrollment. This is a required field.
  • If the enrollment has any Completions, select Keep to let the completions remain in the learner's transcript. Select Delete to completely remove any completions.
  • If the enrollment has any earned Credits, select Keep to let the earned credits remain in the learner's transcript. Select Delete to completely remove any earned credits.
  • Click the  button to remove the enrollment. You will no longer see the enrollment listed for the learner and the learner will no longer have access to the learning product.
