Enrollment Codes - Add/Edit
- Give the enrollment code a Title. The title should reflect the purpose of the enrollment code so that you can locate it in the list of codes on the enrollment code dashboard. The title is only visible to administrators.
- Set the enrollment code Type to Enrollment Code good for a set of redemptions.
- Click .
- Set the Maximum Redemptions, or select unlimited. This number specifies how many people can redeem the code.
- Choosing yes for Add Admins as Section Admins will automatically add any admins for the enrollment code as admins of the product sections you include in the enrollment code.
- The Enrollment Duration sets the amount of time that the learners will have access to the products included in the code once it is redeemed. This duration will override the term days set in the product. You can choose either a certain number of Term Days for the enrollment(s), or a Fixed Date when the enrollment(s) will expire.
- The Redeemable From Date is an optional field that prevents redemption of the enrollment code until the date specified.
- The Redeemable Thru Date is an optional field that prevents redemption of the enrollment code after the date specified.
- Optionally add Notes to the enrollment code to further explain its use or audience. The notes are only visible to administrators.
- Select one or more Learner Products and/or Certifications that will be included in the enrollment code. Note that you are selecting product sections, so choose Default if there are no additional sections for the product. You can use the buttons to scroll through the pages of products available. To view the products you've selected, click the button. Click to remove products.
- Note that you can only choose one section per product.
- Either type in the Enrollment Code that you would like to use, or click Generate to have a random code generated. If you type a specific code of your choice, be sure to click the Validate button to make sure it is a unique, available code. Note that the code cannot be changed once it has been created.
- Click the button to create the enrollment code.
Note: Changes made to an enrollment code after the code has been redeemed will not update those redemptions retroactively. For example, if a learner redeems a code on January 1, and on January 3 you add an additional learning product to that code, the learner's account will not receive the new learning product enrollment--only new redemptions will receive the additional product.
Enrollment codes can be configured to include administrators who have access to a roster of learners who have redeemed the code. This is useful if you want to give an admin access only to the enrollment code redemption info, and not other areas of the Admin Dashboard.
- After saving, you will have the option to add administrators to the code. Enter an email address in the Send administration information to field and click the button (repeat this process to add more administrators).
- The administrator will receive an email with instructions to log in to the portal and redeem the admin code and PIN.
- After completing the code redemption, the admin will have access to the Admin Dashboard, but only to the Currently Administered page which includes the enrollment code roster and enrollment status.
- Admins will also have access to Manage the section if you selected to add them as a section admin.
- Give the overall enrollment code a Title. The title should reflect the purpose of the enrollment code so that you can locate it in the list of codes on the enrollment code dashboard. The title is only visible to administrators.
- Set the enrollment code Type to Enrollment Code with Individual Subcodes (A set of unique codes that can only be redeemed once).
- A Prefix code will automatically generate but you can optionally change the prefix to any unique, 8 digit code.
- Click .
- Edit the Title, as needed.
- Choose Yes or No to Add Admins as Section Admins (when you add an administrator to the enrollment code, they will be automatically set as the product section administrator).
- Set the Enrollment Duration to control how long the learner will have access to the product(s) after redeeming the code. You can either set a certain number of Term Days, or a Fixed Date when the product(s) will expire.
- Note that the Term Days will override the default term days on the product.
- Optionally set the Redeemable From and Thru Dates to control when learners can redeem the enrollment code.
- Optionally enter Notes to further clarify the use of the codes. These notes only display to administrators on the Enrollment Code Dashboard.
- Search for and select the learning product and/or certification sections to include. Click the radio button next to each product section title to include it. Note that you can only choose one section for each product. If there is only one section for the product, select Default.
- Click the button to save your product selection(s).
- If no individual codes have been created or if all of the codes have been redeemed, the following message will display:
- Click the button to add codes.
- Enter the Number of Codes to Generate.
- Optionally add Notes for each code.
- Click the button.
- The codes will be generated in the following format: codeprefix-singlecode (examples: 3LJFNVGK-7RNT, MyCode-1234).
- There are two tables for displaying codes on the Individual Codes tab. Codes Not Redeemed will show all available codes that have not been redeemed by a learner. Codes Redeemed will show the codes that have been redeemed along with the learner name and email address. If no codes have been redeemed yet, the Codes Redeemed table will not be visible.
- Click the button to delete an un-redeemed code.
